Define the Scope of Responsibility First, Then Discuss Price
Turnkey plant planning typically involves four areas: supply and installation of process equipment, plant utilities including electricity, water, gas, and drainage, material handling and control integration between machines, and operator training. When requesting a quote, buyers should ask the supplier to itemize what is included and what is not, such as whether rigging, overseas dispatch, and trial production materials are covered. Items not listed upfront often cost significantly more when added later.
Acceptance Items That Should Be Specified in the Contract
Equipment Functional Acceptance
Test each machine to verify it meets the process capabilities listed in the specification sheet, with both parties documenting test conditions and results in writing.
Production Line Integration Acceptance
Verify output speed and stability under continuous line operation, rather than results from individual machine testing.
Hygiene and Cleanliness Conditions
Confirm contact surface materials, disassembly and cleaning methods, and cleaning validation procedures based on the product type.
Personnel Training Acceptance
Operators and QC personnel must perform hands-on operation and be able to independently resolve common abnormalities.
Documentation Delivery
Operation manuals, maintenance manuals, spare parts lists, and electrical diagrams must be handed over before machine delivery.
Handling Mechanism When Acceptance Criteria Are Not Met
Acceptance is not simply "installed and done"; it requires both parties to agree on a measurable baseline. The contract should specify who is responsible for corrective actions when targets are not met, the improvement deadline, whether final payment may be withheld, and the maximum number of re-inspections. For buyers, including these terms in the contract provides better assurance of delivery quality than relying solely on verbal promises. Actual acceptance conditions should be confirmed based on the product and plant specifications.
